What personal data we collect and why we collect it
We collect and process various types of personal data depending on your relationship with JWC. We may collect and process personal data relating to the following people:
- Contractors/ Consultants
- Applicants (for any of the above roles)
- Website users
- Individuals who contact us directly (see Communications and Social Media)
The types of personal data we may process, for the purposes described below, include:
- Email address
- Home address
- Phone number
- Employment and employer details
- Financial information
- Communications Preferences
- IP addresses
- Pages accessed on any of JWC’s websites
- Cookie session data
We collect and process personal data for the following necessary purposes:
- To administer our websites;
- To respond to any communications, queries or requests for information or services from you, howsoever received;
- To receive and process financial transactions;
- For recruitment, employee and human resources management purposes;
- For auditing purposes;
- For procurement of services;
- For managing our relationships with JWC Partners;
- To comply with our legal or regulatory obligations; and
- To establish, exercise or defend legal claims.
Generally, we do not collect or keep a record of sensitive personal data and only do so in very limited circumstances, primarily when an individual has chosen to provide us with this data.
We process some sensitive personal data for Human Resource purposes, for example, about JWC’s consultants as far as necessary to fulfil our duties as a contractor. On occasion we may also process sensitive personal data of others engaging with JWC, for example where an individual provides us with information relating to accessibility needs for the purpose of arranging a meeting or where an individual contacts JWC and their communication includes sensitive personal data. We do not use this data for any other purpose other than that for which it is provided.
We may on occasion process sensitive personal data in relation to our research and investigations, for example when conducting research into potential or current projects and participants of our research and investigation projects in the context of JWC’s mission. This data may be provided to us by the individuals themselves, from publicly available sources or from third parties.
Just Web Consultants will only process personal data when we have a legal basis for doing so. The legal basis that we will rely on will depend on the circumstances in which we collect and use your personal data. In almost all cases, the relevant legal basis to process personal data is that the processing will be one of the following:
- Based on your consent to use your data in a certain way (for example, to communicate with you through our mailing list). Your consent may subsequently be withdrawn at any time by editing your preferences or contacting us as specified in the How to Contact Us section of this Policy without affecting the lawfulness of processing based on consent before its withdrawal.
- Necessary in order to take steps prior to entering into a contract or for the performance of a contract (for example, for recruitment, for human resources management and to manage those carrying out work on behalf of JWC);
- Necessary to comply with legal requirements (for example, to comply with applicable regulatory obligations and employment law); and
- Necessary for our legitimate interests (for example, to administer our websites, to manage our services, to carry out research and investigations consistent with our mission and to manage projects). We will only rely on this legal basis where we’ve identified the purpose (the legitimate interest), assessed that the processing is necessary for that purpose and conducted a balancing test to ensure that this interest is not overridden by the interests, rights and freedoms of the individual.
Clients will have access to tools with-in the website that require user details, such as log-in features, project management, invoices, and payment processing. Your personal data will be displayed only on internal systems and Invoices for personal use, you may print or download your invoices. This information is retained for as long as we are providing services to the client.
The services we provide during this consultancy, such as websites created, business card designs, art assets, statistical data, or end products may be used in publication on the website for porfolio purposes. We will never publish personal information in portfolios.
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
When using contact forms on the website we retain the data submitted, and also the visitor’s IP address and browser user agent string to help spam detection, helping us provide our services for no more than 2 weeks. While such services are on-going, we will use data inserted into contact forms to build your client account. We do not use or share any of the data entered into our contact forms with 3rd parties or marketing.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
Our website uses Google Analytics, a service which transmits website traffic data to Google servers in the Untied States. Google Analytics does not identify individual users or associate your IP address with any other data held by Google. We use reports provided by Google Analytics to help us understand website traffic and webpage useage.

Who we share your data with
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
Registration is disabled on this website, and new accounts can only be created by an administrator. For users that have access on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Visitor comments may be checked through an automated spam detection service.
How to contact us
How we protect your data
Access to the website is controlled by a username and password system so that access to data is restricted. We use an encryption on client invoices, and only the client will be able to view them with a matching part of the key, sent via email. We make regular back-ups of the website and its data and this is stored locally on a non-network drive.
We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Policy. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to any of our websites; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access. When possible, encryption is used, both in transit and storage. Access controls within the organisation limit who may access information.
